1. Who we are and what this policy covers
This Privacy Policy explains how VEXitEY, Inc. (“VEXitEY,” “we,” “us,” or “our”) collects, uses, shares, and protects information. VEXitEY, Inc. is located at 10020 W 190th Pl, Mokena, IL 60448, United States, and provides technology services to clients across the United States.
This policy applies to our public website at vexitey.com, to Client Care, our private client portal at clientcare.vexitey.com, and to related communications with us, such as email and phone conversations (together, the “Services”). It does not apply to third-party websites or services that we link to or integrate with, which are governed by their own policies.
Use of the Services is also subject to our Terms of Use and End User License Agreement.
2. Information we collect
Information you submit to us. When you use the contact form on vexitey.com, we collect your name, email address, phone number (optional), the services you are interested in, and your message. When you email or call us, we collect the information you choose to provide, such as your name, email address, phone number, company, and the content of your communication.
Client Care account and portal information. Client Care is available to VEXitEY clients and their authorized users. For these users, we process account information such as name, email address, company, and login details, along with account information about the client’s relationship with VEXitEY, such as invoices and payment status.
Device and log data. When you visit the Services, our systems and hosting providers may automatically record technical information such as IP address, browser type, device type, operating system, referring page, pages visited, and the date and time of access.
Cookies and similar technologies. We and our service providers may use cookies and similar technologies to operate the Services, keep users signed in to Client Care, remember preferences, and understand how the Services are used.
Analytics. Our public website uses Google Analytics to help us understand how visitors use the site, such as which pages are viewed and how visitors arrive at the site. Google Analytics uses cookies and collects information about your browser and your use of the site. Google’s use of this information is governed by Google’s own privacy policy.
3. Client Care, QuickBooks Online, and Intuit
Client Care may be connected to QuickBooks Online, a product of Intuit Inc. A connection is made only when it is authorized through Intuit’s authorization process. When a connection is authorized, Client Care may access the QuickBooks company data that the authorizing user permits, such as customer records and invoices.
Client Care uses this data to display invoices and payment status to authorized users and to send users to Intuit-hosted payment pages (such as QuickBooks InvoiceLink) to pay invoices. Payment card and bank account details entered on Intuit-hosted pages are collected and processed by Intuit. VEXitEY does not store raw payment card numbers or bank account numbers.
Intuit’s own terms of service and privacy policy apply to Intuit’s processing of information, including information entered on Intuit-hosted pages. VEXitEY is not affiliated with, endorsed by, or sponsored by Intuit Inc.
A QuickBooks Online connection can be disconnected or revoked at any time through the connected-apps settings in your Intuit or QuickBooks account, or by contacting us using the details below. After a connection is revoked, Client Care will no longer be able to access QuickBooks data through that connection.
4. How we use information
We use the information described above to:
- provide, operate, and maintain the Services and the services our clients request from us;
- respond to inquiries, requests for information, and support requests;
- operate Client Care, including displaying account information, invoices, and payment status to authorized users;
- protect the security and integrity of the Services, including detecting and preventing unauthorized access, fraud, and misuse;
- understand how the Services are used and improve the website and Client Care; and
- comply with legal obligations, resolve disputes, and enforce our agreements.
5. How we share information
We share information with service providers that help us operate the website and Client Care, such as providers of website hosting, analytics, email delivery, and accounting platforms, including Intuit QuickBooks Online when a connection is authorized. These providers may use the information only as needed to provide services to us or as described in their own terms and policies.
We do not sell personal information. We may disclose information if we believe in good faith that disclosure is required by law, regulation, legal process, or a governmental request, or is necessary to protect the rights, property, or safety of VEXitEY, our clients, or others. If VEXitEY is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
6. Cookies and analytics
Most web browsers let you block or delete cookies through their settings. If you block cookies, some parts of the Services, such as signing in to Client Care, may not work properly. You can limit Google Analytics by adjusting your browser’s cookie settings or by using the Google Analytics opt-out browser add-on that Google makes available.
7. Retention
We keep information for as long as it is needed to provide the Services, respond to inquiries, maintain business and accounting records, resolve disputes, enforce our agreements, and meet legal obligations. When information is no longer needed for these purposes, we delete it or keep it in a form that no longer identifies you.
8. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, and alteration. No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security.
9. Your choices and rights
You may ask us to access, correct, or delete personal information we hold about you by contacting us using the details below.
